How CIPG collects, uses and protects personal information.

This Privacy Policy explains how the Centre for Inclusive Policy and Governance (CIPG) (“CIPG”, “we”, “us”) collects, uses, stores and protects personal information when you visit cipgbd.org (the “Website”), contact us, subscribe to our updates or take part in our programs and events. We are committed to handling personal information lawfully, fairly and transparently, in line with the laws of the People’s Republic of Bangladesh and generally accepted international data protection principles.

1. Who we are

CIPG is a research and development-oriented, non-political and non-profit voluntary organization based in Dhaka, Bangladesh. CIPG is responsible for the personal information described in this policy. 2. Information we collect

Information you give us. When you use our contact form, write to us, subscribe to updates, register for an event, volunteer, apply to a program or propose a partnership, we collect the details you provide, which may include:

• your name;
• email address and phone number;
• postal address;
• organization, designation or professional background;
• the subject and content of your message;
• any other information you choose to share with us.

Information collected automatically. When you browse the Website, our servers and our hosting and security provider record standard technical information such as your IP address, browser type, device type, the pages you request, the referring page and the date and time of the request. This is used to deliver, secure and troubleshoot the Website.

Information from events. Our seminars, roundtables and other events are public and may be photographed, filmed or reported by CIPG and by the press. Speakers’ and participants’ names, designations and images may appear in our event pages, press releases and media coverage.

We do not knowingly collect sensitive personal information (such as health, religious or political affiliation data) through the Website, and we ask you not to send it to us.

3. How we use your information

We use personal information only for the purposes for which it was provided, namely to:

• respond to your enquiries, requests and partnership proposals;
• send you news, event invitations and publications you have subscribed to;
• organize and administer our events, programs, trainings and volunteer activities;
• operate, maintain, secure and improve the Website;
• keep records required for accountability, audit and compliance with applicable law;
• protect the rights, safety and property of CIPG, our participants and the public.

We do not sell, rent or trade personal information, and we do not use it for advertising.

4. Legal basis

We process personal information on the basis of your consent (for example, when you subscribe to updates), to take steps you request (for example, replying to your message or registering you for an event), for our legitimate interests in running a non-profit research organization and a secure website, and where required to comply with legal obligations. Where we rely on consent, you may withdraw it at any time.

5. Sharing your information

We share personal information only when necessary and only with:

• service providers who host, secure or deliver the Website and its files, and who process data on our instructions (such as our web hosting, content delivery and email providers);
• partner organizations co-organizing an event or program you have registered for, limited to what is needed for that event or program;
• public authorities, courts or law enforcement where we are legally required to do so, or to protect rights, safety and property.

Some of our service providers may process data on servers located outside Bangladesh. Where this happens we take reasonable steps to ensure the information is protected to a standard comparable to this policy.

7. How long we keep information

We keep personal information only for as long as needed for the purposes described above. Enquiries and correspondence are normally kept for up to three years; newsletter subscriptions until you unsubscribe; event and program records for as long as needed for reporting, audit and legal obligations. Server logs are kept for a short period for security purposes. Information is then deleted or anonymized.

8. How we protect information

We use appropriate technical and organizational measures to protect personal information against loss, misuse, unauthorized access, alteration and disclosure, including encrypted (HTTPS) connections, access controls on our administration systems and limiting access to staff who need it. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.

9. Your rights

Subject to applicable law, you may:

• ask whether we hold personal information about you and request a copy of it;
• ask us to correct inaccurate or incomplete information;
• ask us to delete your information or to restrict its use;
• object to our use of your information or withdraw consent you have given;
• unsubscribe from our emails at any time using the link in the email or by writing to us.

To exercise these rights, contact us at info@cipgbd.org. We may need to verify your identity before acting on a request, and we will respond within a reasonable time, normally within 30 days.

10. Children

The Website is intended for adults. We do not knowingly collect personal information from children under 18 without the consent of a parent or guardian. If you believe a child has given us personal information, please contact us and we will delete it.

11. Links to other websites

The Website links to and embeds content from other websites, such as newspapers covering our events and video or social media platforms. Those sites have their own privacy policies, and we are not responsible for their content or practices.

12. Changes to this policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new effective date. Significant changes will be highlighted on the Website.
